I am committed to protecting your personal information, and also committed to being transparent about what information I hold, and for what purpose.

This policy explains:

2. What type of information I collect, how I get it and why I need it?

I collect personal information (information that can be used to identify you), directly from you, the client. This is done when you make contact with me via: the website online form, email, social media messages or posts, or during a discovery call, as well as information you provide during our work together. I only collect information that is relevant, and that will help me support you best. This information would be, but is not limited to:

Your name, age, medical history, brief description of your family up brining, current life and/or work situation, and current or past traumas. Information about the issue(s) you are wanting to address – I would need this information to better understand your situation and how I might best help you. This information is important and required for insurance and legal purposes.

Your address, email, phone number and any other contact information you provide – I use this as a way of contacting you regarding your sessions. I will mainly use the method you first contacted me by but if I cannot reach you, I will try a different method.

Next of kin/ GP’s details – If I were worried that you were at risk then I may need to contact your next of kin or GP, if I can. I will let you know when/if I am going to do this.

Emergency contact details – because I work online, I might need to have an emergency contact number just in case something happens during our work together.

Session notes – I keep brief notes of our initial contact, session(s), follow-up communications and audio recordings made for you, and any other information that is relevant, for reference, legal and insurance purposes.

Under the General Data Protection Regulation (GDPR), the lawful basis we rely on for processing this information are:

(a) Your consent. You are able to cancel your consent at any time. You can do this by contacting [Adham Limited contact details above]

(b) We have a contractual obligation.

(c) We have a legal obligation.

(d) We have a vital interest.

3. What do I do with the information?

I only ask for the information if I need it to better understand you, and your needs. I might use the information you provide to better understand my studies and how to improve my services. I do not sell to, or share, your information with any third party. It is very unlikely that I will share your information with any other party, unless there is a legal or ethical reason to do so. I may have to share your information if my notes are subpoenaed by court, if you or anyone you tell me about, is at harm or risk of harm, I may have to pass this information on. I am studying and do conduct research, so I might discuss general information provided, with other professionals, but never use or reveal your name, or any other personal details that might identify you. Information about you is kept for 7 years, this is for insurance and legal purposes only, and some parts of the information can be deleted if thought to be irrelevant.

4. How will I store your information?

Your information is stored as digital data on a password protected computer. Once our work is completed, it is transferred to a password protected encrypted folder, and backed up on a hard drive. Your first name and last name initial along with your phone number(s) and emails, might be kept in my mobile phone for communication purposes, but that information is deleted annually. Tailor made audio recordings, that are made for you, are emailed to you right after a session and  usually only kept for 3 months, but can be kept for longer, if you are receiving on going support.

5. How long do I keep your information?

I regularly review the information I hold for clients.

Any hard copy information is scanned or written up in digital format and stored securely on a password protected computer, all other hard copies are immediately destroyed after a session.

I will hold your personal information for as long as needed for the relevant service. For legal and insurance purposes, I have to keep some of your information for 7 years.

I delete names, phone numbers and emails from my mobile after 1 year.

If you asked me not to contact you again, I would hold a record of that indefinitely.

Where information is no longer required by me, I delete it and from my computer, phone and backup drive.  

6. Your date protection rights?

Under data protection law, you have rights including:

Your right of access – You have the right to ask me for copies of your personal information.

Your right to rectification – You have the right to ask me to rectify information you think is inaccurate. You also have the right to ask me to complete information you think is incomplete.

Your right to erasure – You have the right to ask me to erase your personal information in certain circumstances, but within legal and insurance requirements guidelines.

Your right to restriction of processing – You have the right to ask me to restrict the processing of your information in certain circumstances.

Your right to object to processing – You have the the right to object to the processing of your personal data in certain circumstances.

Your right to data portability – You have the right to ask that I transfer the information you gave me to another organisation, or to you, in certain circumstances.

You are not required to pay any charge for exercising your rights. If you make a request, I have one month to respond to you.

7. How to complain?

If you have any complaint or issue you would like to raise, please write to me at: admin@adham.co.uk and I will do my best to reply to you within 30 days.
